This policy explains what we collect, why we collect it, and the choices you have. Effective date: August 2026.

Pace Software, Inc. ("Pace," "we," "us" or "our") provides a profitability platform for agencies. This Privacy Policy describes how we collect, use, disclose and protect information when you visit our website or use our services (collectively, the "Services").

1. Information We Collect

Information you provide

  • Account information: name, work email address, password (stored in hashed form) and profile details.
  • Workspace information: agency name, team member details, clients, retainers, projects, rate cards, cost rates, and time entries that you or your team upload.
  • Billing information: payment method details, which are processed by our payment provider and never stored on our servers in full.
  • Communications: messages you send us, including support requests and feedback.

Information we collect automatically

  • Usage data: pages visited, features used, and actions taken within the Services.
  • Device and log data: IP address, browser type, operating system, referral URLs and timestamps.
  • Cookies and similar technologies: see Section 6 below.

Information from other sources

  • Data you import into Pace, such as time history exported from other time-tracking tools, and publicly available information about your agency.

2. How We Use Information

We use the information we collect to:

  • Create and maintain your account and workspace.
  • Operate, maintain and improve the Services, including the margin engine and reporting.
  • Process payments and manage your plan.
  • Provide customer support and respond to your requests.
  • Send service communications, such as alerts, invoices and important notices.
  • Detect, prevent and address security or technical issues and abuse.
  • Comply with legal obligations and enforce our Terms of Service.

We do not sell your personal information, and we do not use the contents of your workspace to advertise to you or anyone else.

3. Legal Bases for Processing

Where applicable law requires it, our legal bases for processing include:

  • Performance of a contract: processing necessary to provide the Services you have signed up for.
  • Legitimate interests: operating and securing the Services, and improving our product, in ways that do not override your rights.
  • Legal obligation: where we are required to process data to comply with the law.
  • Consent: where you have given it, for example for certain marketing communications. You may withdraw consent at any time.

4. Sharing and Disclosure

We do not sell your data. We share information only in these limited circumstances:

  • Service providers: vetted processors who help us operate the Services (such as hosting, payments, email delivery and analytics), bound by contractual obligations to protect your data.
  • Within your workspace: team members you add to your workspace can see the data you grant them access to.
  • Legal requirements: where disclosure is required by law, or where we believe in good faith that it is necessary to protect rights, safety or property.
  • Business transactions: in connection with a merger, acquisition or sale of assets, with appropriate confidentiality protections.

5. Data Retention

We retain your data for as long as your account is active and for a reasonable period afterwards to allow for reactivation and to comply with legal obligations. You can export or delete your data at any time. When you request deletion, we delete or anonymize your personal information, except where retention is required by law.

6. Cookies and Similar Technologies

We use cookies and similar technologies to keep you signed in, remember your preferences, and understand how the Services are used. You can control cookies through your browser settings; however, disabling certain cookies may affect the functionality of the Services.

7. How We Protect Data

We protect your data with encryption in transit (TLS 1.3) and at rest (AES-256), individual authentication, role-based access controls and isolated workspaces. We review our security practices regularly and require the same of our processors. See our Security page for details.

8. Your Rights and Choices

Depending on where you live, you may have the right to:

  • Access, correct or update your personal information.
  • Request deletion of your personal information.
  • Object to or restrict certain processing.
  • Receive a portable copy of your data.
  • Withdraw consent where processing is based on consent.

9. International Transfers

Your information may be processed in countries other than the one in which you are located. When we transfer personal information across borders, we use appropriate safeguards, such as standard contractual clauses, to protect it.

10. Children's Privacy

The Services are not directed to children under 16, and we do not knowingly collect personal information from children. If you believe a child has provided us with personal information, contact us and we will delete it.

11. Third-Party Links

The Services may contain links to third-party websites. We are not responsible for the privacy practices of those sites, and we encourage you to review their policies.

12. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be announced within the Services or by email. Continued use of the Services after changes take effect constitutes acceptance of the revised policy.
